Join the Commercial and Investment Bank team as an Executive Administrative Assistant, partnering with business leaders to deliver high-quality administrative support, drive efficiency, and help teams operate smoothly in a fast-paced environment.

As an Executive Administrative Assistant in the Commercial and Investment Bank, you will support one or more executives by managing demanding calendars, coordinating complex domestic and international travel, processing expenses, and helping leaders stay organized and focused. You will use strong judgment, communication, and organizational skills to manage priorities, support client visits and local events, coordinate follow-ups, and leverage internal tools to create efficiency. You will also partner closely with colleagues and stakeholders across the organization to ensure seamless backup coverage, project support, and tactical execution for the location.

 

Job Responsibilities:

  • Manage complex calendars for leaders in a fast-paced, dynamic environment, including prioritizing meetings, resolving conflicts, and handling last-minute changes.
  • Coordinate domestic and international travel, including itineraries, logistics, and expense processing.
  • Work closely with key stakeholders to manage priorities and maintain key documents using firm tools such as Teams, Concur, and other internal platforms.
  • Support local event planning, client visits, employee engagement activities, recognition events, and meeting logistics.
  • Provide onsite office support, including phone coverage, new hire integration assistance, facilities coordination, supply ordering, floor access, client/guest greeting and escorting, food orders, and conference room setup/takedown.
  • Provide general team support, including timekeeping, training tracking, ad hoc projects, and tactical support for the location.
  • Maintain confidential information, support internal controls, and comply with firm policies and procedures.

 

Required qualifications, capabilities, and skills:

  • Strong organizational skills with the ability to work independently in a demanding, changing, and fast-paced environment.
  • Proven ability to manage complex calendars, travel planning, expenses, and administrative priorities.
  • Self-motivated, collaborative, team-oriented, and able to exercise discretion with confidential information.
  • Excellent interpersonal and communication skills; confident, organized, clear, and service-oriented.
  • Sound judgment, decision-making, and problem-solving skills.
  • Proficiency in Microsoft Office and firm tools such as Teams, Concur, PitchPro, and other internal platforms.
  • Ability to adapt quickly to process changes and learn new technologies.
  • Willingness to provide onsite support, including greeting clients, distributing packages, restocking pantry items, and supporting local floor duties as needed.
  • 3+ years of administrative support experience in a fast-paced environment. 
  • Commitment to customer service and effective collaboration with colleagues and team members.

 

Preferred qualifications, capabilities, and skills:

  • Experience in a client-facing sales or financial services environment preferred.

 

Note: This role requires onsite presence five days per week, Monday through Friday, and does not support hybrid work arrangements.
