How you will create an impact
As Executive Assistant to the General Manager, Australia, you will provide high-level executive administrative support in a fast-paced, professional environment where discretion, sound judgement and attention to detail are essential. You will play a key role in enabling the smooth operation of the General Manager’s office, managing their complex diary, coordinating meetings and travel, preparing communications and supporting engagement with internal and external stakeholders.
This role offers the opportunity to work closely with senior leaders across Australia, the region and globally, contributing to the effectiveness of leadership routines, business planning, stakeholder engagement and day-to-day operations. It is well suited to a proactive, highly organised Executive Assistant who enjoys building trusted relationships, managing competing priorities and working at the centre of a dynamic business.
Key accountabilities will include but not limited to:
- Provide high-level executive administrative support to the General Manager, Australia, always ensuring confidentiality and professionalism.
- Manage the General Manager’s diary and inbox, meeting schedule and travel arrangements, often within tight timeframes.
- Coordinate meetings, prepare materials and support follow-up actions across internal and external stakeholders.
- Prepare and manage documents, correspondence, presentations, reports and internal communications in a timely and accurate manner.
- Manage a high volume of incoming emails, correspondence and requests, escalating or delegating where appropriate.
- Support the annual planner, corporate calendar and key leadership routines for the General Manager’s office.
- Build and maintain effective relationships with colleagues, clients, external parties and regional or global stakeholders.
- Coordinate regional and global requests for information, including NY and APAC-related requests where required.
- Process expenses and invoices accurately, with appropriate attention to cost centre and budget allocations.
- Carry out additional administrative and coordination duties as required to support business priorities.
What you’ll need to succeed
- Strong MS office skills.
- Highly organised and outcome focused.
- Strong interpersonal, communication and negotiation skills.
- Outstanding relationship and stakeholder management ability.
- Ability to work independently and employ initiative to find solutions.
- Ability to work under pressure, to tight deadlines.
- Shows a degree of empathy/resilience to deal with more challenging or confronting situations as required.
- Strong customer service ethic.
- Proven experience in a similar role, supporting a CEO, General Manager, Managing Director or senior executive in a professional/legal/financial services firm would be highly advantageous.
