The Payroll portion focuses on executing and validating monthly payroll for Hong Kong employees under an outsourced payroll model, ensuring accurate calculation of salaries, allowances, overtime, leave deductions, Mandatory Provident Fund (MPF) contributions, and statutory reporting.
The role partners with HR, Finance, external payroll vendors, and employees to ensure accurate, timely, and compliant payroll delivery while maintaining strong HR operational standards and a positive employee experience.

- Hands-on experience with Workday and time and attendance processes/systems.
- Strong Microsoft 365 skills, particularly Excel, with the ability to work effectively with HR and payroll data.
- Strong communication skills in English and Chinese, with the ability to work effectively with employees and internal and external stakeholders.
- Demonstrated ability to identify process issues and improve operational processes, particularly within HR or payroll environments.
Preferred Qualifications
- Experience with payroll administration, particularly in a Hong Kong environment.
- Experience using Power Automate to streamline or automate operational processes.
- Experience with ServiceNow or similar service management platforms.
- Experience in process optimization, including reducing manual work, improving accuracy, or digitizing HR processes.
- Experience with stakeholder and vendor management, especially working with outsourced payroll providers.
- Knowledge of time and attendance and time-off processes across Mainland China and Hong Kong.
What you'll build (your key responsibilities)
HR Operations
- Administer employee lifecycle activities, including new hire onboarding, contract documentation, time and attendance, transfers, promotions, leaves of absence, resignations, and terminations.
- Maintain accurate and up-to-date personnel records, including employment contracts, leave records, salary changes, benefits enrollment, and other HR documentation.
- Serve as the HR service desk contact for employees, responding to HR-related inquiries and following up on service tickets until resolution.
- Prepare and distribute routine HR reports, such as headcount, turnover, leave, attendance, and employee demographic data, to support internal management and external compliance needs.
- Support compensation and benefits administration, including data preparation for salary changes, allowances, bonuses, and benefits enrollment.
- Identify process improvement opportunities and use data insights to enhance HR service quality, accuracy, and the employee experience.
- Coordinate with external HR or payroll vendors when required, providing accurate employee data and monitoring service delivery quality.
Hong Kong Payroll
- Prepare and validate monthly payroll inputs for Hong Kong employees, including new hires, terminations, salary adjustments, overtime, allowances, commissions, leave deductions, and other ad hoc items.
- Coordinate with the outsourced payroll vendor to ensure payroll is processed accurately and on time, and perform pre-payroll and post-payroll checks.
- Reconcile payroll results, including gross-to-net calculations, bank payment files, MPF contributions, and general ledger or finance reports.
- Ensure timely and accurate MPF administration, including new employee enrollment, monthly contribution preparation, data submission, and distribution of pay records in line with Hong Kong requirements.
- Support Hong Kong statutory reporting, including the preparation of IR56E, IR56F, and IR56B data for review and submission by the responsible team or vendor.
- Maintain payroll records for salary changes, MPF, insurance, leave, new hires, terminations, and other payroll-related updates.
- Respond to employee and manager inquiries regarding payroll, leave balances, MPF, final payments, and related matters, and escalate complex cases when necessary.
- Monitor updates to Hong Kong payroll, MPF, and employment regulations and support compliance by updating internal processes and payroll inputs accordingly.
Life on the team
