This is a hands-on, onsite role focused on office operations, employee support, visitor coordination, vendor scheduling, pantry and office supplies, invoice coordination, onboarding support, and employee events.

The ideal candidate enjoys being visible in the office, helping employees, keeping the workplace running smoothly, and coordinating with vendors and building partners when issues need attention.

Our Impact:

Corporate Services helps employees do their best work by providing reliable workplace services, clean and effective office environments, responsive onsite support, and a positive workplace experience. In Jersey City, this role helps make the office feel organized, welcoming, and ready for employees, visitors, and business partners each day.

Your Impact:

In this role, you will be the go-to onsite contact for the Jersey City office. You will support employees with office-related questions or issues, keep shared spaces ready for daily use, coordinate vendor visits and repairs, help visitors get badged, assist with onboarding logistics, support employee events, and follow through on operational details that contribute to a positive workplace experience.

  • Serve as the primary onsite workplace and office operations contact for the Jersey City office, supporting employees, visitors, business partners, and Corporate Services stakeholders.

  • Create a welcoming office environment by assisting employees and visitors, supporting visitor badging, and coordinating with internal teams as needed.

  • Oversee daily office readiness, including cleanliness checks, meeting rooms, pantry stocking, office supplies, mail, packages, shared spaces, and first aid supplies.

  • Respond to employee office issues and service requests, track follow-up through resolution, and use ServiceNow, eMaintenance, email, or other workplace tools as appropriate.

  • Coordinate vendor visits and building management requests for repairs, cleaning, maintenance, pantry service, office equipment, and other onsite support needs.

  • Support onboarding, employee moves, office events, meetings, and workplace activities by coordinating supplies, badges, access, room setup, and vendor support.

  • Maintain office procedures, vendor contacts, supply inventories, invoices, purchase requests, operational notes, safety readiness, and compliance activities in partnership with internal teams and onsite business partners.

Qualifications:

  • Bachelor’s degree or equivalent experience preferred.

  • 5 - 7 years of experience in office operations, workplace experience, office management, hospitality, facilities coordination, or a similar employee-facing role.

  • Experience supporting daily office operations, including employee requests, visitors, office supplies, vendors, invoices, onboarding logistics, and workplace events.

  • Strong customer-service mindset with the ability to communicate professionally, stay organized, and follow through on workplace needs.

  • Proficiency with Microsoft Office; experience with ServiceNow, ticketing systems, visitor management, badge access, or building operations tools is preferred.

Keys to Success in this Role:

  • A warm, professional, hospitality-oriented approach to supporting employees and visitors.

  • Strong follow-through, organization, and attention to detail in a hands-on office environment.

  • Ability to notice what needs attention, take ownership, and solve small office problems before they become bigger issues.

  • Comfort balancing daily requests, vendor coordination, supplies, events, invoices, and office walk-throughs.

  • Clear communication with employees, vendors, building partners, and internal Corporate Services teams.

  • A practical, service-oriented mindset focused on keeping one office running smoothly and creating a positive workplace experience.
